Details of the processing activity:

We send invitations to customers and/or suppliers and other participants regarding participation in events. We sometimes give the recipients the opportunity to book a hotel room for this purpose and transfer the relevant participant details to a hotel near the event.

Legal basis of the processing activity:

The processing is used to perform a contract or as a step prior to entering into a contract as per Art. 6(1)(b) GDPR.
The processing is also necessary for the purposes of the legitimate interests pursued by the controller as per Art. 6(1)(f) GDPR for the smooth organization of events and for maintaining relationships except where such considerations are overridden by the need to protect the interests or fundamental rights of the data subject.

Data transfer to third countries:
No transmission to third countries is planned.

Period of storage of the personal data:

8 years (accounting records as per AO/HGB) (deletion after 8 years. Retention period in acc. with Sect. 147(1)(4) AO and/or Sect. 257(1)(4) HGB.)

Rights of the data subject:

You have the right (in acc. with. Art. 15 GDPR) to obtain from the controller confirmation of the personal data concerning you as well as the right to rectification (Art. 16 GDPR), erasure (Art. 17 GDPR) and restriction of processing (Art. 18 Abs. 1 GDPR). Furthermore, you have a right to object to processing (Art. 21 GDPR) as well as the right to data portability (Art. 20 GDPR).
